This Privacy Policy describes how JanGuard LLC (“JanGuard,” “we,” “us,” or “our”) handles personal information when you use our website, the JanGuard application, client and vendor portals, QR-code pages, and related services (together, the Services).
For privacy questions or requests, email support@janguard.io.
1. Who this policy covers
This policy covers website visitors, account holders, business contacts, workers, vendors, clients, and people who submit information through JanGuard pages.
For website inquiries, account administration, and our own business relationships, JanGuard determines how information is used. For records that a customer manages in JanGuard—such as employee time records, facility reports, and client contacts—we generally process information on that customer’s behalf. That organization determines the purposes of processing, access permissions, and how its records are used, subject to its agreement with us and applicable law.
If an employer, cleaning company, franchise office, or facilities manager uses JanGuard to handle your information, its privacy notices also apply. Contact that organization about its records; you can contact us if you need help identifying the appropriate organization.
2. Information we collect
The information involved depends on the features you or your organization use and the permissions you grant.
- Account and contact details: names, business names, email addresses, phone numbers, roles, profile information, login information, and support correspondence.
- Facility and service records: building addresses, work areas, schedules, scopes of work, checklists, service completions, inspections, issues, supply requests, notes, photographs, and attachments.
- Workforce information: worker and vendor contact details, assignments, time entries, time-off requests, employment details, emergency contacts, compensation information, and payroll-related records entered by a customer.
- Location information: facility addresses, approximate location derived from technical information, and device location associated with enabled timekeeping, on-site verification, inspections, or service-reporting features. See Section 4.
- Sales and communications: leads, business contacts, quotes, contracts, messages, appointment details, email engagement, and call details. Where a customer enables recording or transcription through a connected communications service, this can include recordings and transcripts.
- Financial and franchise records: invoices, payments, credits, statements, franchise applications, sales plans, promissory notes, equipment financing and asset records, and tax or bank information entered into applicable features. Franchise applications and connected screening services may also involve background-check information.
- Signature and consent records: signatures, acceptance choices, document versions, timestamps, IP addresses, and browser information associated with electronic agreements or permissions.
- Technical information: IP addresses, browser and device details, requested pages, referral information, campaign parameters, usage events, and security or diagnostic logs.
We receive information directly from you, from the organization managing your account or facility, from devices and browsers interacting with the Services, and from integrations that a customer connects. Prospect research may also involve business information from public sources.
Payment processors collect payment credentials through their payment interfaces. Other financial details, such as bank or tax information that a customer enters into administrative features, may be stored within JanGuard records.
3. QR reports, photographs, and shared records
A QR code connects a visitor to a particular facility or work area. Depending on the page configuration, you may be able to view instructions, log a service, sign in as a vendor, or report an issue. We receive the information you submit, which may include contact details, comments, photographs, and technical information about the submission. Some forms may request device location.
The organization responsible for that facility and its authorized users can access the report. A public-facing form does not mean that a submission is anonymous: submitted details, photographs, and technical records may identify you.
Photos and uploaded files may contain information about people or embedded metadata, including the time or location where a photo was taken. Avoid including personal information that is unnecessary to describe the work or issue.
Customers control who receives reports and other records. Information included in a shared link may be accessible to anyone who receives or is forwarded that link.
4. Workforce and device location
Enabled location features can associate workers with a facility, verify arrival or departure, support timekeeping, and display location activity to authorized managers. Precise device location is subject to device or browser permissions and the applicable feature’s settings and consent flow.
Time-clock location collection can occur while a worker is clocked in with the time-clock interface open. An enabled automatic clock-in feature may check location while the application is open to detect arrival at a configured work site. Location can also be associated with individual clock events, inspections, or service submissions.
You can manage location permission in your device or browser and use available in-app consent settings. Disabling permission may prevent location-dependent features from working. It does not by itself erase previously recorded information. Your employer or service organization is responsible for explaining its workplace monitoring practices and any related requirements.
5. How we use information
We use personal information to operate and support the Services; manage accounts and subscriptions; connect service activity to facilities and schedules; deliver reports and communications; process transactions; enable customer-selected integrations and AI features; troubleshoot and improve the product; protect accounts and prevent abuse; and meet legal obligations or address disputes.
We may use business contact details to respond to inquiries and communicate about JanGuard. Where applicable law requires consent for a particular use, that use is subject to the required consent. Customers are responsible for the purposes and legal basis of communications and workflows they initiate through the platform.
6. Who receives information
Information may be disclosed to:
- Your organization and authorized participants, including managers, regional offices, franchisees, subcontractors, and client portal users, according to their access and the customer’s sharing choices.
- Service providers supporting hosting, databases, authentication, file storage, email delivery, payments, mapping, analytics, customer support, and AI processing.
- Connected services selected by a customer, such as accounting, email, calling, CRM, or screening integrations. Their own terms and privacy notices govern their processing.
- Recipients of customer-directed sharing, including emailed reports, exported documents, published pages, and shareable links.
- Legal or business recipients, when needed to comply with legal process, protect rights or safety, investigate abuse, or evaluate or complete a business transfer such as a merger or acquisition.
Contact us for information about providers relevant to your account. This policy does not govern independent third-party websites or services you reach through a link.
7. AI-assisted features
When you use an AI-assisted feature, information supplied to that feature—such as business details, notes, prompts, or uploaded documents—may be sent to an AI service provider to produce a result. The information involved depends on the feature and what the user submits.
Review generated content before using or sharing it, and avoid entering unnecessary sensitive information. Provider-specific processing and retention terms depend on the service and configuration used; contact us for details relevant to your organization.
8. Browser storage, analytics, and email
The application uses browser storage and related technologies to support sign-in, preferences, and functionality. The marketing website stores campaign parameters in session storage and can carry them into app signup links to associate visits with campaigns.
Where enabled, website analytics measures page usage and actions such as calls to action. Our website supports Vercel Web Analytics or Plausible; the provider used depends on the site’s configuration. Hosting services also process request and security logs.
Some emails sent through the platform record opens or link clicks. Email software, privacy settings, and automated scanners can affect these measurements. Third-party embedded content may process device data or use its own storage technologies.
You can manage browser storage, cookies, and email privacy settings through your browser or email application. Blocking or clearing storage may sign you out or affect functionality. Use an unsubscribe option where provided to stop optional marketing messages; essential account, billing, and security communications may still be sent. For messages sent by a JanGuard customer, contact that sender about its communications.
9. Retention and deletion
We have not established one fixed retention period for all categories of personal information. Retention depends on the type of record, the purpose for which it is used, customer instructions and agreements, account status, security needs, and applicable legal or accounting requirements.
Closing an account, removing a user, or withdrawing a device permission does not necessarily delete all related records immediately. Historical service and transaction records may need to remain associated with an organization’s account. Backups and records held by connected third-party services may follow different retention processes.
Contact support@janguard.io to discuss access, export, deletion, or retention for a particular record or account. We assess requests against applicable requirements and the instructions of the organization responsible for the data. This policy does not promise a specific deletion deadline or replace retention obligations in an applicable agreement.
10. Your privacy choices and rights
Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or a portable copy of personal information; object to or restrict certain processing; withdraw consent; or exercise applicable opt-out rights. Some laws also provide a right to appeal a decision or complain to a supervisory authority. These rights can be subject to exceptions.
Send a request to support@janguard.io, with enough context to identify your account or relationship to JanGuard. Do not send passwords, full bank details, or sensitive identity documents in your initial email. We may need to verify your identity or an authorized agent’s authority before responding.
For customer-managed information, we may direct the request to the responsible organization and assist it as appropriate. If you wish to appeal our response where an appeal right applies, reply to our response and state that you are requesting an appeal. We will not discriminate against you for exercising rights protected by applicable privacy law.
11. Security and processing locations
We use safeguards designed to protect information, including access controls, authentication, and encryption supported by our infrastructure. No system or transmission method is completely secure. Keep account credentials private and review permissions before sharing records.
Information may be processed where JanGuard and its providers operate. Applicable protections and processing locations can differ by service. Contact us about processing locations or contractual requirements for your organization; this policy does not represent a commitment to a particular hosting region.
12. Children
The Services are designed for business and facility-management use, not directed to children under 13. If you believe a child under 13 has provided personal information, contact us so we can investigate and take appropriate action, including deletion where required.
13. Updates and contact
We may update this policy as the Services or our practices change. The date at the top identifies the latest revision. We will provide additional notice or obtain consent when required by applicable law.
